01Zoho Mail or Skein: the short answer

If you want solid business email on your domain for as little as possible, or you already run your company on Zoho CRM and Zoho Books, Zoho Mail is hard to beat. If the problem you want solved is threads going quiet, the quote nobody answered, the investor who never got the data room, Skein adds an agent for that on top of the mailbox.

Zoho Mail is part of Zoho, a large suite of business apps. It offers a free plan for small teams, very cheap paid plans, and Zia, Zoho’s AI assistant, which can write, complete and summarise emails inside the composer.

Skein is business email on your own domain with an agent that follows up on every conversation. Hosted in the EU. The agent notices when a customer, investor or candidate is waiting and drafts the follow-up in your tone. 03Where Zoho Mail is the better choice

  • Price per mailbox. At €0.90 to €3.60 per user per month, Zoho is among the cheapest serious business email. Skein is not trying to compete on that number.
  • The Zoho suite. If your CRM, invoicing and help desk are already Zoho, Zoho Mail ties into them in ways a separate email provider cannot.
  • A free plan. Up to five users can get email on their domain at no cost, which is fine for a side project or a very early company.
  • Archiving and compliance features. Mail Premium adds retention storage, eDiscovery and S/MIME, which some regulated teams need.
  • Available today. Skein is not open yet.

04Where Skein is different

The agent does the noticing

Zia helps when you are writing: it generates a draft from a phrase, completes sentences and summarises long emails. Skein looks after the threads you are not looking at. It sees that a buyer has waited three days for an answer, drafts the reply in your tone with the right document, and shows its work: what it read, who is waiting, where each link came from.

By default nothing is sent without your OK, from the app or, at launch, from Slack or WhatsApp, and every send has a few seconds to undo. For the contacts you choose, you can let it send on its own.

One list of who is waiting on whom

Skein keeps one list across the team of who is waiting on whom, with the threads that cost the most if they slip at the top, and sends a daily brief of what came in and what the agent did. It proposes meeting times from your Google, Microsoft or iCloud calendar inside the thread and sends the invite.

EU hosting for everyone, priced per person

Zoho keeps EU data in the EU when your account lives on zoho.eu. Skein runs mail and agent in Frankfurt for every customer. Pricing is per person with the agent, with cheaper mailbox-only seats for teammates who only need an address; details are on the pricing section.

05Who should pick which

  • Pick Zoho Mail if you need the lowest cost per mailbox, already use Zoho apps, or need archiving and eDiscovery on a budget.
  • Pick Skein if email is where your revenue, fundraising or hiring happens, and the cost of a missed follow-up is bigger than the difference in price per seat.

06How to switch from Zoho Mail to Skein

A move from Zoho is a standard provider switch: create the new mailboxes, copy the history, then point your MX records at the new host. On supported DNS providers Skein writes the records for you. The importer announced for launch covers Gmail; for history in Zoho, bring it up on the setup call a founder does with each team.

    Set MX (and the records you will change) to 300 seconds. Resolvers keep the old value until the old TTL runs out, often 1 to 24 hours.

    Add the new provider’s ownership TXT, its DKIM records and its include in your one SPF record. Outgoing mail can work before incoming moves.

  5. Leave the Zoho account active for a few days, then cancel.

Zoho has a free plan for up to five users with 5 GB per user and email on your own domain. It does not include IMAP, POP or ActiveSync, so you use Zoho’s own apps.
Where does Zoho store EU data?
Accounts created on zoho.eu are stored in Zoho’s European data centres, with Amsterdam as the primary and Dublin as the secondary site.
Does Zoho Mail have AI?
Yes. Zia, Zoho’s assistant, can generate drafts from a short prompt, complete sentences, summarise emails and suggest auto-replies. It works when you ask; it does not follow up on quiet threads by itself.
